Consistency of data and optimization of resources

A leading health entity in Colombia saves 88% of time in the migration of clinical and administrative records with STELA.

One of the leading health foundations in Colombia that has been occupying for 3 consecutive years the fifth place in the merco ranking (Corporate Reputation Business Monitor), is accelerating its digital transformation and renews the entire management system. The Foundation chose STELA RPA to automate the data migration of its business processes.

Needs

As part of the change of the core system, it was necessary to migrate all the data recorded in each of the processes to the new web-based system, which is more robust and supports all the management with traceability and integration of the various administrative, financial, clinical, operational, supply, inventory and pharmacy areas. The current system, developed in desktop technologies, is highly complex for the extraction of master data, since it could not be done from the database, but had to be done manually from the graphic interface (migration). (migration) Initially it was considered to hire a team of more than 10 people for data loading and additional technical resources. The following limitations of doing the migration manually were determined:
  • Constant and exhausting recruitment and personnel selection process
  • Constant training tasks, which extended the delivery times of the results.
  • High costs in the contracting of several resources at the same time
  • High margin of error in typing
  • Productive capacity limited to working hours (8X5)
  • High personnel turnover due to repetitive labor
  • Handling of sensitive information, for which it was necessary to manage and sign confidentiality agreements with each employee.

Solution with STELA - Automation made simple

By performing the migration in an automated way using digital robots built on STELA, our zero-code platform, we were able to: Use a functional profile that easily build digital assistants Automate 60 processes in 11 months. The construction of robots for specific tasks in flows of creation and updating of data in the system in processes such as: accounting accounts, creation of cost centers, procedures, supplies and materials registration, stock control, document management, agreements, clinical examinations, among others.

Results.

Very considerable savings in time and money, in the region of 80%, compared to manual costs. In processes with critical and extensive flows, 10 robots working in parallel 24/7 were programmed to run simultaneously, maximizing productivity and increasing ROI thanks to the benefits of STELA's ALL-INCLUSIVE license. As it is in an implementation process, there are endless cycles of testing that STELA helps to validate The following are the results of the automation of just one of the processes, called Creation of Procedures:

STELA helped to significantly accelerate the processes, generating very significant savings, adding to this, the ease of detection of failures of the new Core system in the early stages of implementation and these will be used from QA.
